The Executive Producer will have extensive experience managing large global events, hiring and managing production companies and talent, coordinating thousands of details through operational management standards, and guiding and managing a small staff to accomplish great things. Programs of similar scope include Live Aid, the Olympics, national political campaigns, multi-city Fortune 500 meetings, and international business association conventions.

Through this role, the Executive Producer will be playing an important role in awakening the world through the organization’s virtual trainings.
The ideal candidate is already a member of one or more event management associations such as PCMA, ISES, or MPI. He or she has functioned at the executive or director level of an organization that has managed global events involving tens of thousands of participants.
Duties include direct management and/or coordination of:
- Conceptual design, technical design, and pre-visualization
- Operational practices, timelines, and pre-, during, and post-event critiques
- Site design, planning, management, labor management, and technical direction
- Event production including staging, audio/video, scenic, rigging, etc.
- Video and audio communications rental, labor, recording, and pre- and post-production
- Talent and speaker enrollment and management
- Overseeing the production of a global broadcast
- Budget management including issuing and evaluating RFPs, negotiating, contracting, and maintaining relationships with suppliers
- Liaison with vendors, sub-contractors, city officials, and staff
- Production management and staffing of the events
- Sponsor solicitation, activation and management
- Hospitality and food service management
- Volunteer acquisition and coordination
- Green services, recycling and trash management
The candidate must be able to work with a creative membership base and deal with unconventional people and spaces. This individual must be internally motivated and self-directed, have a positive attitude and be comfortable working in a fast paced environment. Candidates must also have exceptional customer service, computer, analytic and organizational skills. This polished professional will collaborate with many internal and external stakeholders to execute the events leading up to the big event. The ideal candidate must be a true team player with excellent people and problem solving skills.
Required Knowledge, Skills, and Abilities
The ideal candidate will possess a high level of initiative, independent judgment, exemplary customer service and communication skills (verbal and written), and the capacity to work well under pressure to produce seamless events ranging in size from 100,000 to over 1M attendees.
He or she must have proven ability to handle multiple tasks simultaneously in a fast-paced environment and demonstrated ability to prioritize and meet or beat deadlines. The candidate must have the confidence and ability to think quickly and make good decisions under pressure. The ideal candidate will have the ability to represent the team in the absence of the Senior Management.
The candidate must have the demonstrated ability to interact well with internal and external clients, broad knowledge of meetings and special events, excellent budgeting skills, attention to detail and time management skills, and strong organizational skills. Must be results-oriented, organized, and professional. Dedication to detail is essential.
Minimum Training and Experiencee
Bachelor’s degree, at least 7 years of progressive meeting planning and/or events experience and Certified Meeting Professional designation preferred. Experience with exhibits, conventions, and multiple sponsorships is required, as is management of multiple staff and vendors.
Position Location:
Novato, California. If the individual is remote, extensive travel and time in Novato will be required.
